From Notion page to client portal

Three steps, no code, and you keep working in Notion afterwards.

  1. 1

    Build the portal in Notion

    NClient portal
    Fernhill Coffee
    Kestrel Outdoors
    Alder & Rowe

Make a page for each client, or one shared database, and publish it to the web. Add updates and files the way you already do.

  2. 2

    Paste the link into Sotion

    Notion link
    GroupsPasswordAllowlistBranding

Paste your Notion link, choose who can open each page, and add your logo and colours.

  3. 3

Share it on your own domain

    clients.northwind.studioLive
MMaya from Fernhill Coffee signed inViewed Deliverables

Send clients a link on your domain. They sign in and see only what is theirs.

That is the whole set-up. Try it on one client this week.

Each client sees only their pages

Choose how clients sign in to your portal and what each one can open there. Start simple and change it any time.

A password per client

Give each client's hub its own password and share it with that client. A good fit for small projects, and simple to change when a project ends.

Built for teams who share work with clients

If your clients wait on deliverables, updates or documents from you, they belong in a portal.

Project hubs

Agencies

One hub per client for briefs, deliverables, feedback rounds and invoices. Clients stop digging through email threads.

Engagement portals

Consultancies

Share reports, workshop notes and next steps for each engagement on a portal page your client signs in to.

Document hubs

Accountants and bookkeepers

Give each client a single place for checklists, deadlines and the documents you need from them this quarter.

Client onboarding

Freelancers

Send new clients a welcome page with your process, timelines and contract. You look established from day one.

Programme portals

Coaches

Session notes, worksheets and resources for each client or cohort, written in Notion and behind a sign-in on your portal.

Client docs and changelogs

Dev shops

Publish release notes, handover docs and roadmaps per client, straight from the Notion workspace your team already uses.

Your brand, not ours

Clients see your name, your domain and your colours. Sotion stays in the background.

  • Your own domain or subdomain, with SSL set up automatically
  • Your logo, favicon and colours
  • Custom CSS and JavaScript when you want finer control
  • Light and dark mode
  • A social preview image for shared links
  • No Sotion banner, from the Starter plan up

Frequently asked questions

What agencies and consultants ask before they set up a client portal.

No. Clients open the portal on your domain and sign in with the method you chose, such as a password or a sign-in link sent to their email. They use your portal, not Notion, so they need no Notion account or workspace.

Yes, in your portal. Create an access group for each client and choose which pages that group can open there. Or use scoped access: keep one shared Notion database, assign each row to a client, and each client sees only their rows when they sign in.

Not entirely. The page has to stay published to the web, because that is how Notion shows pages to anyone outside your workspace, and it means Sotion never needs your Notion login. Its notion.site address is unlisted, and clients use your portal, where your access rules apply. Keep anything that must stay internal in Notion pages you don't publish, and never share the notion.site link.

Yes. Connect a domain or subdomain you own, such as clients.yourstudio.com, and SSL is set up automatically. You can also start on a free sotion.site address and add your domain later.

Yes. Keep working in Notion as usual. Edits appear on the portal automatically, so a new update or document reaches your clients without an export step.

Yes, on the Starter plan and above. Member analytics shows each client's page views, time spent and when they were last seen, so you know whether the latest update was read.

Yes, at any time. Remove or block a member, or take them out of their group, and their access to the portal ends. Useful when a project wraps up or someone leaves the client team.

Yes, on the Pro plan. Invite your team to your Sotion account so colleagues can manage clients, access and branding with you.

About 2 minutes once your Notion page is ready. Paste the link, choose who can see what, and share it. Connecting your own domain takes a few extra minutes for DNS.
